Effective January 7, 2024, the City of Port Alberni’s Parks, Recreation & Culture Department will be charging nominal administrative fees for short-notice withdraws from Children, Youth, and Adult Recreation Programs, and from Inflatable Birthday Parties.
- Up to 5 days before course start date: You can withdraw from your registered program and receive a full refund or credit on account without any administrative fee.
- Within 5 days and the program start date: You will not receive a refund on a single day program session. If the program has multiple sessions (2 or more), you will receive a prorated refund minus the cost of the first session and a $10 administrative fee.
- After the program has started: You will not receive a refund on a single day program session. If the program has multiple sessions (2 or more), you will receive a prorated refund minus the cost of the sessions that you have attended, and a $10 administrative fee. If the program has 4 or more sessions, there will be no prorated refund after the completion of the 4th session.
- Up to 5 days before your specialty course or kid’s camp: You can withdraw from your specialty course or kid’s camp and receive a full refund without any administrative fee.
- Within 5 days and the start of your scheduled specialty course or kid's camp: You can withdraw your program registration and receive a full refund on account, minus a $20 administrative fee.
- After the specialty course or kid’s camp has started: You can withdraw your program registration and receive a prorated refund up to day 2, minus a $20 administrative fee. No refunds after the completion of the 2nd day of the specialty course or the 3rd day of kid’s camp.
- Up to 5 business days before your scheduled birthday party: Withdraw by 11:00 am on the Tuesday before your Saturday or Sunday Birthday to get a full refund without any admin fee.
- Within 5 days of the start of the birthday party: No refund will be granted for the birthday party. Refunds on account can be made for any order of pizzas. The cost of the pizzas may not be able to be cancelled and/or refunded. Parents or caregivers will have the option of picking up the pizzas at the designated pizza restaurant (Panago or Pizza Factory)
- Fees are required to be paid in full at the time of purchase.
- Punch Cards are non-transferable and non-refundable.
- Memberships can not be frozen or extended due to vacation or time away. If you would like to freeze your membership you will be required to cancel your membership to receive a pro-rated amount. Cancelling a membership will incur a $25 administration fee. If the dollar amount remaining after the cancellation is less than $25 the client will not be required to pay additional money, but rather forfeit the credit on their account.
- For programs that haven’t begun the refund or credit can be left on account or put back on to the original payment card.
- For programs that have started the refund or credit will be left on account. Please allow 2-3 weeks for cheque refunds to be processed; payment can’t always be put back on to the original payment card.
- If your registered program was paid for with your HEART Membership, the funds used from your HEART subsidy will be put back onto your account, minus the administration fee.
- If a participant is asked to leave a program or course an assessment will be made by the Recreation Services Manager to determine if a refund (full or prorated) will be granted.
